Tournament Roadmap ” What to Expect Timeline”

Immediately After Signing Up

Payment and Confirmation: You have until Monday at 5:00 PM the week of the tournament to pay and confirm your spot (unless we sell out earlier). If registrations exceed available spots, we’ll email or send a push through the APP teams, and spots go to those who pay first. Pay ASAP to secure your place.
Withdrawal Policy: You can withdraw with a full refund until Monday at 5:00 PM the week of the event.
App Recommendation: Download the USSSA App and follow your team. Field assignments and weekend updates are posted here first. Enable push notifications for real-time alerts.

Field Announcements: We aim to announce field assignments for each division at least 2 weeks in advance. Note that this may not always be possible, as team numbers can change until Monday of event week.

Price Increase Possible: Event pricing may increase by $100 per team to cover staffing, fields, awards, and other preparations.
Payment Reminder Email: Managers will receive an email reminding you to pay by the following Monday. It includes a link to check your payment status.

Pending Status Notification: If your team hasn’t paid, you’ll receive a message indicating “Pending status.”

Urgent Payment Email: Managers of unpaid teams will receive an email giving you 24 hours to submit payment.

Registration Closes: Signups end at 5:00 PM, after which we begin building the schedule.
Final Payment Texts: Our staff will text managers of unpaid teams to remind you that payment is due by 5:00 PM (if spots are available) or to confirm if you need to be removed.

Manager Update Email: We’ll email the registered manager with the tournament format, rules, and a reminder of your playing location.

Schedule Posted: The tournament schedule will be posted live at 12:00 PM (noon). Check the USSSA App or website for updates. We will send out a USSSA APP Push Notification when live!!

General Reminder Email: All managers and parents (with linked player emails) will receive an email covering rules, format, gate fees, and any park-specific guidelines.

Game Start Times: Games generally start at 9:00 AM each day. On Sunday, earlier start times may be necessary for various reasons.
Coaches Check-In: Coaches should check in at the gate, where staff will collect names of up to 3 coaches to provide free passes.
On-Site Director: Our on-site director will have a tent and table, typically located centrally among the fields, where you can ask direct questions.
App for Parents: We recommend all parents download the USSSA App and follow the team to receive real-time updates throughout the weekend.
